Kindly Note: the more flexibility you have in your delivery and retrieval windows – the more savings we can pass on to you!

For delivery and onsite services, we require a minimum rental order of $500 (before tax). For deliveries outside of our local service area, the minimum rental order is $3000 (before tax). 

WHICH DELIVERY WINDOW DO I NEED?

WE SUGGEST WORKING BACKWARDS!

1. Event Start Time: Start with this one first as it’s your non-negotiable - it’s the time your guests are walking through the doors.

2. Buffer Time: Always remember to build in some buffer time! You never know what unexpected things might pop up on the road causing delays. Giving yourself some extra time also means you won’t be scrambling at the last second to get everything ready!

3. Venue Access: Does your venue require a strict arrival and departure time? No problem! We’re accustomed to it. Please select the 30 minute delivery window and allow 15 minutes of grace before and after the specific arrival time. PS. The larger the delivery window, the more cost savings we can offer ;)

2. Setup Window: This is the time it’ll take to unload and set up our decor items! This will vary depending on the size and scale of your order. *Important Note: Not to be confused with delivery windows which only account for the trucks arriving onsite!*

We work 24/7 on demand, but our standard operating hours for delivery/retrieval are from 7am-10pm, 362 days per year!

 ADDITIONAL FACTORS TO BE CONSIDERED ARE:

  • DELIVERY OUTSIDE SERVICE AREAS require a two-hour minimum delivery window. With destinations a little further from HQ, we expect that the journey may take a bit longer with less predictable traffic, road closures, etc. For this reason, we request a larger delivery window to ensure we're showing up on time and ready to go!  

  • ADJUSTMENTS BASED ON POTENTIAL OBSTACLES OR DELAYS This is the additional time spent delivering your order. This could be due to the distance from the truck to the drop off location, stairs, elevators, etc. Learn more here!

  • ADDITIONAL TEAM MEMBERS If your order requires more muscle 💪

  • RUSH FEES Situations where the 20% rush fee will apply on the entire invoice are for orders with delivery placed within 10 days or will calls within 72 hours. This may also apply to last minute changes to existing orders depending on logistical impact.

  • WAITING TIME Delays will happen! However, setbacks at one job may put us off track for the entire day. We will charge a  waiting time fee of $45 per person for every 15 minutes our teams are required to wait for access for delivery and retrieval. Please bear this in mind in creating your event schedules – including how many trucks may require access to your venue at once!  The 15 minute waiting period will take effect if we have waited for more than a 15 minute grace period. We kindly ask you to do your best in sticking with the schedule so we can show up on time and ready for all clients scheduled within the day :)

  • Great question! Start thinking of your overall timeline and work backwards. Ask yourself, “when does the event start?”, “what other vendors do I need to be considerate of?” (i.e. planners, florists, caterers), “will there be any other vendors needing the elevator?”. Vendors typically work on a staggered schedule to ensure we’re arriving right when we need to be and we can complete the job in a timely manner.

    Fewer considerations? Try going with a longer delivery window and save on the delivery fees!

    PS. delivery windows will not be applicable for setups or teardown services as we have to schedule our team to arrive within a certain time frame.

  • Adjustments are the extra considerations for delivery fees (i.e. may include stairs, elevators, windy pathways, etc.) that we use to build delivery quotes. Below is an explanation of what these adjustments mean:

    No adjustment – The drop zone from the loading area is a straight shot and super simple. This should take no more than 2 minutes per trip.

    Adjustment A – This may be a short walk taking approximately 2 – 3 minutes from our trucks.

    Adjustment B – The final location is a longer walk, taking approximately 3 – 5 minutes per trip. With this in mind, stairs could be a factor in the trip time.

    Adjustment C – Deliveries with Adjustment C will include a longer trip (about 5-10 minutes) from the truck. This may include distance from loading bays to the event space, multiple drop off areas and elevator(s).

    Adjustment D – The route to our final drop off location requires a longer walk due to the use of freight elevators. Keep in mind, most of the time, all vendors and the venue are typically using the same freight elevators and this results in longer trips.

    Adjustment E – There are more variables involved, like: public use gondolas, competing with foot traffic, unpredictable circumstances, etc.

    *Delivery prices are subject to change due to the custom nature of the service.

  • You can save on late night fees if the venue has any flexibility to allow a next day pickup!

    Be flexible! Choose a longer delivery window where we can arrive in between a certain time frame or arrive on the dot. We’ll thank you in the long run 🙂

  • A delivery window is the window of time when the truck will first arrive on site. For example, if you choose a delivery window of 9am-5pm, the truck can arrive anytime within that window - right up to 5pm!

    A set up window is the time when the Bespoke team will be actively setting up the decor for your event.

    Please note that the delivery window must be considered separately from the set up window. If your event need to be completely set up by 4pm, a delivery window until 4pm will be too late to allow for setup.

  • Please select the 30 minute delivery window and allow 15 minutes of grace before and after the specific arrival time.

    For example, if your delivery is needed at 2pm, your delivery window will be 1:45pm-2:15pm.

  • It does not! If you require any on-site services, please get in touch and we can provide you with a quote.

  • Yes! We offer a small number of late night strikes or retrievals outside of our standard operating hours. These exclusive retrievals have a premium charge due to the late night nature, added logistics and higher pay rates we offer our teams.

  • Join our waitlist!

    We book on a first come, first serve basis with our peak times typically from May to September and during the first few weeks of December. We encourage you to book delivery services early to have the best shot! Especially for late night services as we limit those per day. We keep our fully booked dates for delivery updated here. If your venue has flexibility, we are happy to look at an early delivery and later retrieval date!

    Complimentary will-call is always available from the Bespoke Warehouse. We are able to advise on the size of truck you will want to rent 🙂

    *Reminder, some inventory items require Bespoke assembly and not all of our inventory is available for will call pick up due to the nature of the item (i.e. fragility and weight).

  • Have all packaged rental items (candle holders, lawn games, vases, etc) put back in the tote that they came in with the same protective materials that was used for delivery.

    All the rentals must be located in one area upon retrieval.

    For next day retrievals, please ensure that all the rentals are stored indoors.

    Kindly note that our delivery and set-up fees are charged separately. If you would like to include this service, please contact your rental rep to add this onto your invoice.

  • No! For any windows 8 hours and above, a shorter window will be provided a few days prior to your delivery from our logistics team.

  • Did we miss you? We get it - life happens! Sometimes you may not be available to receive your delivery. Should this unplanned circumstance happen, please give us a call and we’ll help problem solve, reschedule and get back on track! Beep, beep!

    If you need to proactively reschedule your delivery, please contact your Bespokie and we’ll get it sorted. Our regular business hours are Monday through Saturday from 9:30AM-5PM and we can be reached at 604-809-0660. If you have an after-hours emergency you can reach us at 236-986-9060 (we kindly ask that your reserve this line for appropriate use only - it is not monitored during business hours).
